Scope of Position

 

The Monitise Office Coordinator is responsible for all front of house and general administrative support functions within the Company at its offices in Monument, London EC3.

 

This is a varied and challenging role: aside from general reception duties, the Administrator role is an integral part of the office support team assisting the Facilities Manager with some of her tasks and occasionally supporting the Executives in some PA responsibilities.

 

 

Key Duties and Responsibilities

 

Although the scope and focus of activities may vary dependent on business requirements, the following should be considered the core tasks:

 

Receptionist duties

  • Meet and greet visitors, organise refreshments.
  • Answer the telephone.
  • Deal with incoming and outgoing post, couriers and deliveries.
  • Organise meeting rooms.

 

 

Facilities

  • Ensure smooth-running of the office and that the highest standards are maintained.
  • Report issues to the building management team and monitor to ensure all are resolved.
  • Ordering of furniture, office equipment, and stationery.
  • Arrange desk and internal phone moves.
  • Set up desks and equipment for new starters.
  • Assist with health and safety compliance.
  • Upkeep of company intranet (phone lists, seating plans etc).
  • Maintain facilities records and key safe.
  • Coordinate and administer Company's mobile phone and BlackBerry fleet.

 

Administration/Other Duties

  • Book travel/hotels and keep records on travel provider's website up-to-date..
  • Binding and scanning of documents.

 

The role will be very diverse and the appointed candidate will enjoy a variety of duties.

Person Specification

 

Education and Qualifications

 

Although no specific qualifications are required to carry out this role, candidates must have a general level of intelligence which would, in most cases, be demonstrated through the acquisition of three A-level qualifications (or equivalent), grades A-C.

 

 

Experience

 

Essential

  • At least 12 - 18 months in an office environment is required.

 

 

Skills and Competencies

 

  • Proactive self-starter with flexible attitude.
  • Well organised with ability to multi-task.
  • Proficient in Microsoft Office.
  • Professional telephone manner.
  • Ability to communicate professionally with internal and external contacts at all levels of the organisation.
